This Privacy Policy applies to our website (www.servmeco.com), Enterprise Subscription Service, tablet and mobile applications owned and controlled by serVme, and any other associated and affiliated products and websites owned and operated by serVme.

Use of the Enterprise Subscription Service by Customers of SerVme

serVme’s customers are standalone or a collection of restaurants, event organizers, and/or hotel operators (“Venues”) that are subscribed to serVme’s reservation and Customer Relationship Management system to manage, receive and record reservations (“CRM Services”) about the restaurant’s guests (“Guests”). serVme shall provide Venues with a secure reservation and guest management platform to input and record reservations and guest details (“Platform”) and allows them to communicate with Guests through specific channels. Venues may allow its authorized employees (“Designated Users”) access to the CRM Services through a unique user identification assigned to them. Guests do not have access to the CRM service. Except where provisions are specific to Registered Users, Accounts, or Guests, all the terms of this Policy apply equally to both Guest and Registered User information. Venues will ensure that its employees, officers, representatives, subcontractors, collaborators, users and Designated Users comply with all the terms of this Agreement.

Where a Venue is subscribed to the payment services and may charge Guests in advance for their reservation, event or experience (“Payment”) details of the credit card payment or information are not stored and are processed through a third-party payment processor which is subject to such processor’s policies.

Information We Collect

Personal Data

This refers to any information that you may voluntarily submit to the Venues to create or manage a reservation. This identifies you personally, including contact information, such as your name, e-mail address, company name, address, phone number, and other information about yourself or your company. You may also share specific information about your preferences or profile with regards to your reservation, which the Venue may store in your Guest Profile. The Venue may wish to promote an event based on your Guest Profile. If you are interested in receiving promotional or other communications from the Venue you may choose to “opt-in” to such communications. This can be done either via the Platform (through any notification sent) or directly informing the Venue whereby you will be subject to the Venue’s marketing and compliancy policy.

Where Venues are using the Platform and CRM services to manage reservations, they may collect the following information:

First and last name, gender, e-mail addresses among other personal data about the Guest is recorded in the CRM. Only Designated Users of a Venue may create a Guest Profile that includes the previously listed information (“Guest Profile”).

The Guest may be asked to complete a financial transaction service, if the Venue is subscribed to the Payment service and has asked the Guest to secure the reservation in advance. We do not store payment information directly on our servers, but this information may be shared with Venues and third parties as set forth herein.

Room booking history of Guests may be linked to the Platform by the Venue Property Management system.

Telephone log history of Guests may be linked to the Platform by the Venue telephone network service provider.

Purchase history of Guests may be linked to the Platform by the Venue point of sale systems.

If Guests provide feedback to the Venue via email or SMS notification.

serVme will only share the information specified above with the Venue at which a Guest has made reservations using the Service. Venues cannot use the Services to access information pertaining to Guests, reservations or related information from other Venues, except that Venues with the same corporate ownership may elect to share such information.

Moreover, Venues using the tablet and mobile app (both Android and iOS) and that have the call logs service activated, must be aware that serVme will have access to all calls received and made from the device. Once a call is received, serVme will display specific guest information that is available in the Venue’s guest profile of the caller (if recognized). All calls that are received and made are displayed on the Call Log page in the Platform along with the call duration, guest name (if available), the status of the call (answered or missed), and if the call resulted in a reservation. serVme will never share this information with other Venues or third parties.

Personal Data

Our websites are not intended for or targeted at children under 13, and we do not knowingly or intentionally collect information about children under 13. If you believe that we have collected information about a child under 13, please contact us at legal@servmeco.com so that we may delete the information and process this request in compliance with the rules and regulations.

How Information is Used

By Customers/ Venues

Venues that use the Platform and CRM Services to secure and manage reservations and upon the Guest permission to a Venue to communicate with you. The Venue may communicate with the Guest subject to the Venue’s policies and procedures, including those relating to the storage and management of Personal Data. Moreover, Venues may use the Platform to record purchases via integration with POS systems and to take note of the Guest’s special requests, allergies, special occasions or other relevant Personal Data that will help the Venue serve the Guest in a better manner. It is important to know that this data belongs to the Venue and not serVme, since the Venue is engaged with Guest.

Venues may send an email to Guests informing them that they are currently in one of their databases, and request to Unsubscribe from all their promotional and communication emails at any time. Venues subscribed to the Marketing Services may also choose to send promotional campaigns to invite or alert Guests about experiences related to the Venue’s services. Any Guest with a European telephone number will be automatically opted out for all Email and SMS. With the introduction of our new marketing tools, Guests will be able to opt back into your marketing campaigns.

Since each subscribed Venue is a separate business from serVme, we regularly encourage Venues to comply with data protection requirements. However, we will not be responsible for a Venue’s failure to comply with laws applicable to the use of Personal Data. Any complaints or inquiries regarding use of your information by a Venue, should be addressed directly to the Venue. Personal Data is used to provide our Services and provide answers to any inquiries such as:

Creating and securing Designated and Registered Account users;

Answering and supporting any inquiries;

Sending Guests notification including Email and SMS confirmations, cancellations, wait-listing, and other communications related to the reservation experience. Venues may also use the Platform to send such messages directly to Guests;

Sending e-mail notifications for resetting passwords and maintenance accounts; Improving the quality of experience when you interact with our Site and Services; Send newsletters, surveys, offers, and other promotional materials related to our Services and for other marketing purposes. Send information to you regarding changes to our Customer Terms of Service, Privacy Policy (including the Cookie Policy), or other legal agreements; and Ensure that we meet legal requirements.

Data Anonymization

It is the process of either encrypting or removing personally identifiable information from data sets, so that the people whom the data describe remain anonymous. As such, Anonymous Data refers to data that is not associated with or linked to your Personal Data; We collect Personal Data and may aggregate Anonymous Data about Guests and Registered Users by excluding information (such as your name) that makes the data personally identifiable. The purpose is to analyze request and usage patterns only to enhance the content of our Services and improve Site navigation. serVme reserve the right to use Anonymous Data and aggregated and other de-identified information for any purpose and disclose Anonymous Data to third parties in our sole discretion.

We use the information we collect only in compliance with this Privacy Policy. Customers who subscribe to our CRM Services are obligated through our agreements with them to comply with this Privacy Policy.

We never sell Personal Information. One of serVme’s goals is to allow Venues to control their guest experience and own their data without reselling or compromising their privacy and security. As such, we will never sell your Personal Information to any third party.

If a Guest wishes to have serVme disclose, amend, delete what Personal Data of we may holds, we shall process such request in compliance with all applicable privacy laws and reach out directly to inquire this request.

How do we protect our information?

serVme implements a variety of security measures when Venues, Designated Users, and Registered enters, submits, or accesses their information to maintain the safety of your personal information. We secure the Personal Information you provide on computer servers in a controlled, secure environment, protected from unauthorized access, use or disclosure. All transactions are processed through a gateway provider and are not stored or processed on our servers.

Our websites are scanned on a regular basis for security holes and known vulnerabilities in order to make your visit to our site as safe as possible. Personal Data is contained behind secured networks and is only accessible by a limited number of persons who have special access rights to such systems and are required to keep the information confidential. In addition, all sensitive/credit information you supply is encrypted via Secure Socket Layer (SSL) technology. We continually monitor and implement changes and improvements that become available in the electronic data security industry to maintain the security of Personal Data in our possession.

Communication about This policy

Any changes to this Policy will comply with the rules and regulations and shall be communicated periodically via email and notifications should the Venue and Guest be subscribed to marketing notifications. Otherwise, we will always update this page of the website, along with the effective date of the updated Policy.
